Privacy Policy

This policy explains what information we collect through this website, why we collect it, how it is stored and the rights you have over it.

Bianca Tutoring Services ("we", "us", "our") provides 1-to-1 online tutoring to families in the United Kingdom. We are the data controller for the personal information described in this policy. We handle personal information in line with UK data protection law (UK GDPR and the Data Protection Act 2018).

Information we collect

We only collect information you choose to give us, plus limited website usage data.

  • Parent/guardian contact details — first name, last name, email address and telephone number submitted through the enquiry form.
  • Student information supplied by the parent — year group, subject required, preferred lesson availability, and anything you choose to tell us in the free-text notes (for example learning goals or areas of difficulty). Please only include information about your child that is necessary for us to help.
  • Communications — emails, messages and call notes exchanged with us after you enquire.
  • Website analytics — if, and only if, you accept analytics cookies, Google Analytics collects anonymous usage data such as pages viewed, approximate location (country/region level), device type and referral source.

We do not ask for special category data (such as health or SEN diagnoses) through the website form. If you feel it is relevant, please raise it with us directly during your consultation rather than in the form.

Why we use it and our lawful basis

  • To respond to and manage your enquiry, arrange a free consultation and, if you go ahead, deliver tutoring — our lawful basis is steps taken at your request prior to entering a contract, and performance of that contract.
  • To run and improve the website — our lawful basis for analytics is your consent, which you can withdraw at any time.
  • To meet legal and accounting obligations — our lawful basis is compliance with a legal obligation.

Submitting an enquiry does not sign you up to marketing. We will not add you to a marketing list without your separate, opt-in consent.

Who we share it with

We do not sell personal information. We use a small number of trusted service providers who process information on our behalf:

  • Airtable — enquiries submitted through this website are securely stored in our Airtable enquiry records so we can respond and manage the enquiry.
  • Google (Google Analytics) — website usage statistics, only where you have accepted analytics cookies. Enquiry details such as names, email addresses, telephone numbers and notes are never sent to Google Analytics.
  • Email, scheduling and video providers — used to contact you, schedule lessons and host online lessons.
  • Tutors — the tutor matched to your child receives only the information needed to teach them effectively.

Some providers may store or process data outside the UK. Where that happens, transfers are covered by the safeguards those providers offer, such as UK International Data Transfer Agreements or adequacy decisions.

How long we keep it

  • Enquiries that do not lead to tutoring: kept for up to 24 months, then deleted.
  • Active families: kept for the duration of tutoring and for a reasonable period afterwards in case you return.
  • Financial records: kept for as long as tax and accounting law requires.
  • Analytics data: retained according to the retention period set in Google Analytics.

How we protect it

Enquiries are submitted over an encrypted (HTTPS) connection and sent from our server to Airtable using credentials that are never exposed in your browser. Access to enquiry and family records is limited to Bianca Tutoring Services staff and the tutors who need it, and our systems are protected by individual accounts and access controls.

Children's information

The website is intended for use by parents and guardians, not children. Information about a student is provided to us by their parent or guardian, who is responsible for the details they share with us.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you or your child.
  • Ask us to correct information that is wrong or incomplete.
  • Ask us to delete information where there is no ongoing need to keep it.
  • Object to, or ask us to restrict, certain uses of your information.
  • Withdraw consent at any time where we rely on consent (for example analytics cookies).
  • Ask us to transfer your information to another provider where that right applies.

To exercise any of these rights, email info@biancatutoringservices.com. We will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to put things right first.

Cookies and analytics

Google Analytics is switched off until you accept it. You can change your choice at any time using the button below, and our Cookie Policy explains exactly what is stored.
